Notes & capture

Capture is how new information enters Rolo. Notes become interaction records on contact timelines. Voice gets transcribed. Quick-add turns a two-line description into a full profile. The faster you can capture, the more your relationship memory compounds.

The Notes page

The Notes page (Notesin the left sidebar) is a searchable, filterable grid of every interaction you've logged. Each card shows the note content, linked contacts, the date, and a star rating you can set to mark priority notes.

Use the date scrubber on the right to jump to a specific month and see what was happening then. Filter notes by tag, linked contact, date range, or star rating to narrow the view.

Writing a note

Click + New note (or the capture button on mobile) to open the note composer. Write freely — Rolo will extract structure from your natural language.

Example notes and what Rolo does with them

  • "Had coffee with Marcus today. He's leaving Stripe to start something in climate tech. Wants an intro to the a16z climate team."

    Creates or updates Marcus's profile (company change, new focus area). Logs the interaction. Adds an action item: intro to a16z climate team.

  • "Met Sarah Kim at the YC demo day — partner at Sequoia, focused on Series A B2B SaaS. Super sharp on GTM. Follow up next week."

    Creates Sarah's profile with company, role, and focus area. Logs a "first meeting" interaction. Adds a follow-up action item.

  • "Quick call with the team — Arman, Jack, and Alex. Decided to push the launch to Q3. Alex is leading the mobile build."

    Logs an event note with multiple attendees. Links Arman, Jack, and Alex via @mention resolution.

@mentions

Type @ followed by a name while writing a note to link a contact. A picker will appear with matching contacts — select the right person. Once linked, their name is highlighted in the note and the interaction appears on their timeline.

Rolo also resolves mentions automatically from plain text — if you write "met with Sarah" and Rolo finds a contact named Sarah Kim, it will suggest the link even without the @ symbol. You can confirm or dismiss the suggestion.

Mentions work across notes, event descriptions, and the Rolie chat interface.

Voice capture

On the Notes page and the capture sheet, tap the microphone icon to record a voice note. Speak naturally — "Just had a 30-minute call with James. He's interested in our enterprise plan. Wants to loop in his CTO next week." Rolo transcribes the recording using AssemblyAI and converts the transcript into a structured note automatically.

Voice capture is especially useful right after a meeting, when you're still in the car or walking back to your desk. The transcript is preserved alongside the structured note, so you can always reference the raw words.

Quick-add (mobile FAB)

On mobile, the floating action button (the + circle at the bottom right) opens the unified capture sheet. It lets you:

  • Log a new interaction note

  • Add a new contact

  • Start a voice recording

  • Log a quick follow-up

The capture sheet is designed for speed — open, type or speak, close. It's meant to take less than 30 seconds for a standard post-meeting capture.

AI note generation

On a contact's profile or from the Notes page, you can ask Rolo to generate a draft note based on context it already has. For example: "Generate a catch-up note for Marcus based on our last conversation." Rolo will draft something you can edit before saving.

AI-generated notes are clearly marked with a badge. They're never saved automatically — you always review and confirm before the note is written to your history.
